Strategies to Successful Meetings

Meeting Strategies

Meetings are a necessary part of running a business, but without proper strategy an opportunity to be productive turns into a waste of time. Furthermore, whenever you are strategizing a meeting, there are FOUR basic questions to ask yourself.

  1. Is this meeting necessary?

Is there a better time to have this meeting later? Is this a good time to pull staff away from their work?

2. Who should be at this meeting?

With every person asked to attend a meeting, there is an opportunity cost associated with it. Ask yourself, is this meeting worth the cost in man hours? Limit your meetings to vital members to increase productivity.

3. Do I, as the business owner, need to attend this meeting?

Ask your staff! Trusting them to run their own meetings can free you to do other tasks.

4. What’s the purpose of this meeting?

Let your staff know what the goal of the meeting is beforehand, this will allow everyone to stay on task, and work towards the same goal. In addition, this will keep the meeting productive and relevant.

Creating An Environment of Contribution

Meetings should be a place where everyone feels safe to contribute to the discussion. Your job as the leader of these discussions is to facilitate them in a way in which everyone gets a chance to speak. One immediate solution is to have all staff required to attend the meeting to bring one question to ask the group. This allows everyone to feel heard, and keeps the conversation relevant. Another way to create an environment where everyone is contributing is to “facilitate through delagation” By splitting up the meeting criteria and giving everyone a topic to go over, everyone is expected to contribute, minimizing over contributors and giving a platform to those who may not regularly speak.

Managing Meeting Times

The last key to a successful meeting is managing meeting times! It is important to outline a beginning and end to your meeting, so you can properly parse out time to each topic at hand. Furthermore, at the end of each meeting, the leader of the meeting should ask its attendees, what’s working and what’s not working. (see the rose and thorne theory)
